Let the Purpose Drive the Process

Once you're clear on why you're meeting, the next question becomes: how are you actually going to get there?

Most agendas are simply lists of topics. Updates, discussion items, and maybe a few decisions.

But a strong agenda is something else entirely. It's a sequence of conversations designed to move a group toward an outcome.

If your goal is to share information, a presentation might make sense. If you're exploring ideas, discussion is essential. If you want people to engage more deeply, breakout groups can help. And sometimes, a few minutes of individual reflection before speaking can completely change the quality of the conversation.

Each of these is a tool. The point isn't to include all of them — it's to choose the right ones and use them intentionally.

When I build agendas, I think about the purpose of each segment of time. What does this part of the meeting need to accomplish? How does it move the group closer to the overall goal? That's what turns an agenda from a schedule into a process.

And when the process aligns with the purpose, meetings tend to stay focused, productive, and far more engaging.
